A notes archive earns its place through retrieval
Collecting everything creates value only if you can find the important item later. An elaborate tagging system can become a maintenance burden instead of a memory aid.
Test the archive before migrating it
Moving years of notes is a larger commitment than trying a blank notebook. Import a representative sample containing text, scans and attachments, then check search and export behavior. If the material becomes harder to retrieve or move elsewhere, a polished capture interface may not compensate. We would make migration confidence the deciding factor for an existing archive and capture speed the deciding factor for a new one.

Review shared notebooks and scanned documents for personal information. Capturing paper into a cloud archive changes who may be able to access it.
Checks before you commit
Save a receipt, a web page and a meeting note, then search for them a few days later without remembering their exact titles. Check export options before a large migration.
